Form Grants: choose which schools use each form

Section titled “Form Grants: choose which schools use each form”

Open any organization and the new Form Grants tab shows every form that school or department can use. Grant a form, archive it, or bring it back, one organization at a time.

Until now, a school’s forms came from licenses, and a license at the district reached every school beneath it. Piloting a new rubric at two schools, or moving one school to a revised form for the new year, meant working around that.

Now each school’s forms are granted to that school, on its own page. Open the school, open Form Grants, and the list is the answer.

  • Grant a form to one school, or to a district and its schools in one step with the Member organizations list.
  • Set a new school up in one step with Grant to Members, which passes the forms a district or group already lists down to the schools you choose.
  • Archive a form for one school while every other school keeps it.
  • See when a school’s access to a form starts and ends in the Availability column, and change those dates with Edit Dates if you are a system administrator at the top level of the account.
  • Manage a form set’s forms on its Forms tab: attach, reorder, set scoring and weights, and archive a form in that set only.
  • Retire a form everywhere with Archive on the form itself, and restore it with Activate.
  • See why a form can’t be used at a glance: a Form archived label shows when the form itself is the reason.

Grants belong to one organization. A district’s grant does not reach its schools, and a new school starts with no forms until someone grants them. Grant to Members on the district or group is the quickest way to set one up.

Archiving never touches past work. Every observation already recorded still displays and scores as before, and every archive can be undone.

Required questions are now checked on every form when an observation is submitted. An observer with an unanswered required question sees Required questions must be answered. and can submit once it is answered.

Go to System Administration > Organizations/Groups, open an organization, and choose the Form Grants tab. You’ll need the system administrator role.
